Users and Profiles Management in DesignO

Efficiently controlling access in DesignO keeps your workflow secure and organized. Follow these steps to add users, invite new team members, and set precise permissions using profiles.

Users are the people who log into DesignO—like admins, production staff, and more. Profiles control which modules and features users can access. Let’s walk through how to create users, send invites, and configure profiles for secure, streamlined access.

Step 1: Click the Settings icon to open administration options.

Step 2: Select Users to manage user accounts.

Step 3: Click Add New User. Enable the user toggle, choose the Store, and enter the user's name (e.g., James Chadwick).

Step 4: Fill in mandatory fields like Mobile Number.

Step 5: Enter the Email Address and Password for DesignO dashboard login.

Step 6: Select a Profile to assign permissions (for example, "printing").

Step 7: Review optional fields (country, city, address, website, social links). Click Submit to create the user.

Step 8: To invite a new user, enter their Name and Email Address, select the Profile, and assign a Store. Send the invite—the user receives an email link to set up their login.

Now let’s set up profiles, which control access based on department or role.

Step 1: Click New User Profile to create a profile.

Step 2: Enable the profile, name it (e.g., "shipping"), and choose access level—Owned Data (only what the user creates) or All Data (everything in the module).

Step 3: For every module (orders, products, etc.), enable or disable access for the profile, and set whether users can view, add, edit, or delete within each.

Step 4: In the order module, specify access to payment and customer details based on job duties. For example, enable customer details for shipping but not payment.

Step 5: Set permissions for jobs, like allowing job sheet downloads or output file generation.

Step 6: Define workflow access. Choose which workflows and job statuses the profile can access, and rearrange them as needed. Click Submit to save.
